OneDrive is the application that handles files and folders on your Cloud Storage.
OneDrive is an app that makes it easy to use Cloud Storage. OneDrive designates a folder on your devices storage (Hard Drive, Internal Storage etc.) with the Storage you have on Microsoft 365. This means that any files or folders that are created or saved to that designated folder will get automatically synced to the Cloud. Depending on your internet connection speed, and the number and size of the files that you save to the folder, this “synicing” process can sometimes take some time, but it will happen in the background and you don’t have to do anything else.
Once the files and folders show as synced (a tick will appear near the files and folders when you look at them in the folder), this means that they have been synced to the Cloud successfully. These files will then be available from anywhere by logging in to the online portal for OneDrive, or accessing OneDrive on another device that is logged into the same Microsoft 365 account. When accessing another device, you should allow the app to connect to the Cloud and download the changes (new and edited items).
When sharing files and folders, you do not need to do anything differently than you would normally do when opening, editing and saving files, as once they have been changed, the file is then uploaded to the Cloud automatically and made available to the users that the folder/file is shared with. Once the file has been uploaded, it may take a short while for the other users to download the file/changes that you’ve made, but should all happen automatically.
OneDrive and SharePoint essentially work the same way, in fact they are related apps.
OneDrive is the single user desktop or mobile app that is used by individuals to seamlessly upload and share files on the Cloud.
SharePoint is the Cloud that OneDrive uses to store and share files. SharePoint itself does also have additional features such as the ability to create a website to publish posts, content, files and share communications. It is common for smaller organisations to only use OneDrive when collaborating with each other, as it is not always necessary to take advantage of the features of the full SharePoint experience, however depending on the organisations workflow and user base, either or both of the aspects of the Microsoft 365 platform can be used very effectively to communicate and collborate within Teams and Organisations.
