Mailbox Types

When using Microsoft 365 with your email, for organisations that have multiple users, it is sometimes necessary to use different types of mailboxes in order to provide a streamlined user experience. The following types of mailbox are available:

User Mailbox

This is simply an email account/mailbox that has been setup for a specific user, with a personalised email address for that individual. All users on our Microsoft 365 packages will generally be given this type of mailbox, and it is the type that will be most familiar to everyone.

Shared Mailbox

A Shared Mailbox is normall setup when there are multiple individual users that need access to the same mailbox. For example, 5 individual users have their own personal email addresses, but all need access to a group email account for general enquiries (info@yourdomain.com). This is where a Shared Mailbox would be setup, as each of the 5 users can be added to the permissions of a Shared Mailbox and granted access to it, allowing them to all work through the emails of the Shared Mailbox at the same time.

A Shared Mailbox is also beneficial as it doesn’t require a Microsoft 365 license in order for us to set this up for you, so you will only need licenses for the actual users. This can also be beneficial for setting up shared calendars fro this Shared Mailbox that all of the individual users need access to and work from, rather than one of the users having to set it up themselves and sharing it with the other users.
